Privacy Policy

Last updated: 27 August 2026

At Hello & Hola, we take the privacy of people who visit our website and contact us seriously.

This Privacy Policy explains what personal data we may collect through our website helloandhola.com, why we use it, how long we retain it, and the rights available to individuals whose data we process.

1. Who is responsible for your data

The controller of personal data collected through this website is Jacek Ruciński, a natural person conducting educational activity in Poland, who runs this website under the name "Hello & Hola".

"Hello & Hola" is the public name of our academy — it is not a separate legal entity.

Email: english@helloandhola.com

Contracts and invoicing for our classes are handled with the support of a business incubator. If you decide to start working with us, we will always tell you exactly which entity you are signing the contract with and which entity issues your invoice — before you sign anything.

2. What data we collect

When you write to us through the contact form or by email:

  • your name,
  • your email address,
  • your phone number (only if you choose to give it),
  • the content of your message — including anything you choose to tell us about your child (e.g., age or level of English).

Like almost every website, ours also automatically collects basic technical data (such as your IP address and browser type). This happens through our hosting provider and the security tools described below.

We don’t ask for data we don’t need. Please don’t include sensitive information (e.g., health data) in your message.

3. Why we use your data

  • To read and answer your enquiry.
  • To contact you about our services if your enquiry is about them.
  • To keep the website working and secure (including spam protection).

In legal terms, we do this mainly to take steps at your request before a possible contract, and on the basis of our legitimate interest in running and securing the website. We do not send marketing messages, and we never sell your data.

4. Who helps us run this website

A few trusted providers process data on our behalf, only according to our instructions:

  • Hostinger — website hosting and email;
  • Elementor / WordPress — the software our website and contact form are built on;
  • Google reCAPTCHA — protects the contact form from spam. It works in the background and may process technical data (e.g., your IP address) and set a security cookie. Google may process this data outside the EU, under recognised safeguards (such as the EU–US Data Privacy Framework). See Google’s Privacy Policy.
  • Our business incubator — if you become a client, the incubator handles contracting and invoicing and processes the data needed for that.

5. How long we keep your data

  • Enquiries that don’t lead to cooperation: up to 12 months after our last contact.
  • If you become a client: for as long as the contract and legal (tax and accounting) obligations require.
  • Technical logs: only as long as needed for security, then deleted.

6. Your rights

You can ask us at any time to:

  • tell you what data we hold about you (access),
  • correct it,
  • delete it,
  • restrict or object to its processing,
  • receive it in a portable format,
  • withdraw a consent (where processing is based on consent).

Just write to english@helloandhola.com — we respond within one month. We do not use automated decision-making or profiling.

7. Where you can complain

If you feel we have mishandled your data, you can lodge a complaint with:

  • Poland (our lead authority): President of the Personal Data Protection Office (UODO) — uodo.gov.pl
  • Spain: Spanish Data Protection Agency (AEPD) — aepd.es

8. Children

Our website and contact form are for adults — parents and guardians. We do not knowingly collect children’s data through the website. If a family starts working with us, any information about the child is provided by the parent or legal guardian.

9. Security and changes to this policy

We use reasonable technical and organisational measures to protect your data. No website can guarantee absolute security — but we treat your data the way we would want ours treated.

If we change this policy, the current version will always be available on this page, together with its date.
